Information we collect

We collect information you choose to provide through our event request, general enquiry, RSVP, seating and optional venue food-service tools. RSVP requires an email address so we can identify the record and support the event; a phone number is optional. Information may also include event details, guest names, party size, seating assignments, table orders, dietary or accessibility notes and messages.

How we use information

We use submitted information to respond to enquiries, review availability, prepare event services, support RSVP, arrival check-in, seating and venue food delivery, prevent duplicate registrations, communicate about an event and operate this website. The food-service workflow does not collect payment.

Event hosts and guest permission

Event hosts are responsible for ensuring they have lawful permission to submit, upload and manage guest information. Hosts should collect only information needed for their event and keep their guest lists accurate. Guests should provide only information needed to identify their RSVP and support seating or accessibility requirements.

Responsibility for submitted data

407MOTION is not responsible for inaccurate, unnecessary or unauthorized personal information supplied by an event host or guest. This does not limit 407MOTION’s responsibility to operate the service and handle information in accordance with this Privacy Policy and applicable law.

Access and security

The Master Control Center is protected by account sign-in and restricted to the authorized 407MOTION administrator at 407motion@gmail.com. Guests do not receive administrative access. Guest self-check-in requires a private confirmation code, or the matching RSVP name and email address. If a phone number was provided, its last four digits can also be used for verification. Optional food-service screens require the event code and a separate venue PIN supplied only to approved event staff.

Service providers

We may use service providers to process website forms, host the website and operate event technology. Information may be transmitted to those providers only as needed to provide those functions.

Data retention and choices

Event information is retained while it is needed to provide the event service, support security or meet legal obligations. You may ask about, correct or request deletion of information you submitted by contacting 407motion@gmail.com. Some information may be retained where required for security, dispute resolution or legal compliance.

Guest responsibilities

Guests should use only the invitation, event code or confirmation pass intended for them and should not attempt to access another guest’s information. A confirmation code should be treated like a private event pass.
